Membership & Studio Policies
Welcome
Welcome to BE Pilates Studio.
Our goal is to provide an exceptional Pilates experience through expert instruction, personalized attention, and a welcoming, luxury environment.
These Studio Policies apply to all memberships, class packages, private sessions, workshops, events, and services offered by BE Pilates LLC.
By purchasing or participating in any service offered by BE Pilates, you acknowledge that you have read, understood, and agree to these Studio Policies.
Memberships
Memberships begin on the date of purchase and automatically renew each month unless cancelled in accordance with these policies.
All memberships:
• are billed monthly through automatic payment
• are month-to-month
• are non-transferable
• are non-refundable
• may only be used by the individual member
Billing & Auto-Pay
A valid payment method is required for all memberships.
By purchasing a membership, you authorize BE Pilates LLC to automatically charge your payment method each month on your scheduled billing date.
Payment information may be updated at any time through your Arketa account.
Repeated failed payment attempts may result in suspension or termination of your membership.
Class Reservations
Reservations are available on a first-come, first-served basis.
Because class sizes are intentionally limited, advance booking is encouraged.
Class Cancellations
Group classes may be cancelled up to eight (8) hours before the scheduled class time without penalty.
Late cancellations made within eight (8) hours will incur the current Late Cancellation Fee.
Clients who fail to attend a reserved class without cancelling will forfeit their class credit and incur the current No-Show Fee.
Private sessions require at least eight (8) hours’ notice. Late cancellations or no-shows will result in the session being forfeited without refund or credit.
Late Arrival
Clients have a five (5) minute grace period after class begins.
To protect the safety and experience of everyone in class, clients arriving more than five (5) minutes late may not be admitted.
Late arrivals will be treated as Late Cancellations.
Waitlist
If a class is full, clients may join the waitlist through Arketa.
When a reservation becomes available, all clients on the waitlist are notified simultaneously through Arketa.
There is no reserved response window for the first person on the waitlist.
The available reservation will be secured by the first client who successfully completes the booking.
Joining a waitlist does not guarantee a spot in class.
Membership Freeze
Members may freeze their membership for up to four (4) weeks per calendar year.
Freeze time may be used consecutively or divided throughout the year.
Members may request a maternity freeze of up to
eight (8) weeks following childbirth.
Membership Cancellation
Memberships continue on a month-to-month basis until cancelled.
A written 30-day notice is required to cancel any membership.
Cancellation requests must be submitted in writing to be@bepilates.studio
The thirty-day notice begins on the date your written cancellation request is received—not on your billing date.
Memberships remain active during the notice period, and any scheduled membership payments due during that time will still be processed.
No retroactive cancellations, refunds, credits, or prorated membership fees will be issued.
Class Packages & Gift Cards
All class packages expire three (3) months from the purchase date.
Gift cards expire three (3) months from the purchase date unless otherwise required by law.
Unused classes and credits are non-refundable.
Guest Passes
Guest passes are valid for first-time guests only.
Guests must:
• create their own BE Pilates account
• complete all required waivers
• meet all eligibility requirements
Guest passes are limited to one guest per class unless otherwise approved by BE Pilates.
Studio Etiquette
To maintain the BE Pilates experience:
• Grip socks are required.
• Please arrive on time.
• Mobile phones should be silenced.
• Drinks must be in closed containers.
• Food is not permitted inside the studio.
• Appropriate athletic attire is required.
• Please respect instructors, fellow clients, equipment, and the studio.
Children & Pets
Children, infants, and babies are not permitted inside the studio unless participating in a BE Pilates program specifically designed for them.
Only trained service animals are permitted inside the studio.
Weather & Emergency Closures
BE Pilates may cancel classes due to severe weather, power outages, facility emergencies, or other unforeseen circumstances.
Clients will be notified through Arketa and/or email.
When applicable, cancelled class credits will be returned to the client’s account.
Schedule Changes
BE Pilates reserves the right to modify instructors, schedules, operating hours, services, and programming at any time.
Health & Safety
Clients should not attend class while experiencing symptoms of a contagious illness.
Members are responsible for informing BE Pilates of any injury, pregnancy, surgery, or medical condition that could affect safe participation.
Personal Property
BE Pilates is not responsible for lost, stolen, or damaged personal belongings.
Code of Conduct
BE Pilates is committed to providing a welcoming, respectful, and inclusive environment.
Harassment, abusive behavior, discrimination, intoxication, intentional damage to equipment, or conduct that disrupts the experience of others may result in suspension or termination of services without refund.
Right to Refuse Service
BE Pilates reserves the right to refuse or discontinue services when necessary to protect the safety, wellbeing, or experience of its clients, instructors, staff, or business.
Changes to Studio Policies
BE Pilates reserves the right to update these Studio Policies at any time. The most current version will always be available on our website and through Arketa.
